A material list alone is not enough. Each item needs to be linked to drawings or specifications, applicable standards, quantities, required dates and project acceptance criteria. That is where sourcing coordination starts.

For sourcing teams, contractors, project managers and business owners considering materials from China. We begin with function, specifications and the intended point of use, rather than unit price alone.

What do we coordinate?

  • Organise a material list or bill of quantities (BOQ) into requirements suppliers can quote against.
  • Clarify dimensions, quality, tolerances, technical documents and acceptance criteria with the relevant teams.
  • Prepare quotation comparisons and record specification differences or exclusions.
  • Coordinate samples, agreed inspections, packaging, shipping and handover plans.

Start with the documents you already have

A BOQ identifies items and quantities but may not be sufficient for quotations. Mark revision numbers, reference drawings or specifications, standards, units and items awaiting technical approval.

  • Material list, quantities, units and document revisions.
  • Drawings, technical specifications, reference standards and testing requirements where available.
  • Delivery location, phased requirements and project deadlines.
  • The person responsible for technical approval and the proposed party handling imports.

Three steps before ordering

  • Align requirements: separate mandatory specifications, alternatives and missing information.
  • Compare on equal terms: review prices alongside documents, quality, packaging, delivery and responsibilities.
  • Confirm the decision: document approvals, inspections, payments and handover steps.

The deliverables you receive

Deliverables may include BOQ clarification notes, a quotation compliance matrix, a technical document list, sample status and progress records. Alternative materials are always identified as alternatives; changes remain subject to approval by the authorised decision-maker.

Coordination fees, material prices, testing, logistics and third-party costs are explained separately. Changes to specifications or scope require renewed confirmation.
